Why I Created This Tool
- My PMS (Property Management System) wasn’t user-friendly and was extremely time consuming in preparing the reservation for all discounts. Because I have a lot of duties time was of the essence.
- Manual calculations are time-consuming and often lead to errors—especially due to how rounding works in currencies. If you don’t round per day, you can get discrepancies in the final invoice (even just a few cents can cause issues with agencies or accounting). Equation calculators also make mistakes and need multiple equations to get the calculation order right.
This sheet automates the process, following real-world hotel logic, not just mathematical formulas.
What It Does
- Calculates the total room price across two different pricing seasons
- Supports early booking discounts and supplements for extra adults or children
- Assumes half board (HB) is the default, and calculates bed and breakfast (BB) by subtracting dinner price
- Applies discounts and supplements per day, ensuring correct rounding to 2 decimal places
- Generates a final description with all pricing details, ready to paste into emails or booking systems
Please Note
Hotels calculate prices in different ways. This calculator assumes:
- Room prices are per room, not per person
- The third guest pays only the dinner supplement if on half board
- Dinner price deducted from base price twice makes the BB price
You can freely adapt the sheet to your own hotel’s needs by:
- Changing the dinner or supplement prices
- Adjusting or adding your own early booking discounts
